How it works

A requester creates a request filled with the documents, information or media they would like to get. They attach a list of contributors to it, then launch a sequence: messages sent to each person on a precise schedule, which stop for that person once what they sent has been checked and approved.

The vocabulary

Lea's story

Six panels to understand it all.

  1. Lea, in her forties, with chestnut hair tied back and a sage green sweater, smiles at her laptop at her kitchen table, a mug beside it.

    This year, I'm done chasing paperwork.

    Lea, the requester, creates the request “Club registration”: a photo, an insurance certificate, a registration form. These are the documents.

  2. Lea smiles at the edge of a sports field, in front of the club's team wearing mint green bibs.

    All 20 players, done.

    She attaches a list of 20 contributors to it: the club's players.

  3. Lea's hand presses a key on her laptop; a small green desk calendar stands next to it.

    Here we go, from September 1 to 30.

    She launches the sequence, with a start on September 1 and an end on the 30th.

  4. Tom, a young club player in a navy jacket, looks at a notification on his phone in the changing room.

    Hello Tom, your insurance certificate is missing.

    The messages go out on a precise schedule, by email then by text message: these are the channels.

  5. Tom smiles as he takes a photo of a sheet of paper on his desk with his phone.

    Sent!

    Tom uploads everything: no more reminders while Lea checks. She approves: the sequence stops for him and a thank-you goes out. If she rejects a document, the reminders start again for Tom; if she forgets and has chosen it, everything is approved automatically after 7 days.

  6. A year later, Lea drinks a coffee by the window, serene, her laptop closed on the table.

    Next year? Nothing to redo.

    Next September, the campaign starts again on its own: it is recurring.

The options

What you can add to a campaign. Some options depend on your plan.

AI document review

Each file received is checked: the right type of document, legible and complete, still valid. It is a signal: when the AI finds everything compliant, you approve in one click, but it never approves on its own. Unlimited and Business.

E-signature

The contributor signs online the document you provide, or signs it by hand and takes a photo.

Recurrence

The same campaign goes out again on its own every week, month, quarter, half-year or year.

Copy to your storage

Each document received is copied to your Google Drive, Dropbox or OneDrive, filed by campaign and by contributor. Unlimited and Business.

Group message

One email to the whole group, in blind copy: answer count, thanks, or the list of those still missing.

How to reach you

Each contributor sets their language, formal or informal tone, usual channel and urgent channel.

Rating and choice questions

A rating from 1 to 5 stars, a single or multiple choice, with “Other”.

Answers as a spreadsheet (Excel)

One row per contributor, one column per document, in Excel or CSV.

Link checking

A link uploaded by a contributor is opened without logging in: if it is private, the contributor is asked to open sharing, and you see it in the tracking page.

Help for each document

“Where to find it” and “Example” next to each document: the contributor knows what to look for, and where.

Sensitive documents protected

ID, bank details, payslips: encrypted on arrival and deleted automatically 30 days later, unless your profession requires keeping them.

Adjustable retention

As short as possible, until the end of the campaign, or 5 years when your profession requires it (anti-money laundering), and “keep” document by document. A reminder before each deletion.

Log and upload receipt

Every upload, decision, message and download, with the person, the time to the second and the file’s SHA-256 fingerprint: as CSV, in the ZIP, and a PDF receipt for each contributor.

Requests ready to use, by situation: school, clubs, HR, renting…

Your address book, with groups, and import from Google, iPhone, Outlook or Excel.

Thank-you message

Sent by email or text message as soon as what the person sent has been approved.
